Keep building at full speed through every change

A permit condition, a revised drawing, a variation order: on a live site, change never stops, and every contractor holds its own copy. AODocs links each change to the work packages it binds, retires the superseded revision for everyone, contractors and suppliers included, and works above the project platforms you already run. Crews wait on fewer documents, and none of them builds from the wrong one.

Works alongside Autodesk Forma, Procore and Oracle Aconex. Your cloud, your storage, your LLM.

Approve the change once
Every crew it touches works from it the same day

A permit condition tightens a setback; a revised drawing moves a cable route. On a folder tree, someone must remember which packages it touches, email each contractor and hope the old PDF gets deleted. Missed once, the error surfaces at inspection, and the crew waits. In AODocs, the variation order is linked to the work packages and drawings it binds; on approval, the superseded revision leaves circulation, search and AI answers, and everyone holding it is told.

  • The change is linked to the work packages and drawings it binds, not filed beside them.
  • The superseded revision is retired on approval, for internal teams and contractor portals alike.
  • Whoever holds the old copy is notified, with the reason for the change.
  • The impact is recorded with the change: days, cost basis, approver.
One change, approved once, reaches every package and every copyThe cable route drawing 2041-ELE-DWG-0412 is in force at revision C. Variation order VO-017, for permit condition 14, setback increased to 5 metres, arrives in review, then is approved and revises the drawing. Revision D takes the In force stamp; revision C drops below it, struck through and stamped Superseded. The change reaches the three work packages it binds: WP-04 Substation civil, WP-09 Cable routes and WP-12 Protection relays, each turning from Pending to Notified. Last, the copy of revision C held in the electrical contractor's portal is retired, and its holder is told why: superseded by revision D, permit condition 14.VO-017 · CHANGE ON A LIVE SITEPRJ-20412041-ELE-DWG-0412Cable route, feeder 12Rev CRev DIN FORCEREV CSUPERSEDEDVO-017Variation orderPermit condition 14:setback increased to 5 mIN REVIEWAPPROVEDrevisesLINKED WORK PACKAGESWP-04Substation civilPendingNotifiedWP-09Cable routesPendingNotifiedWP-12Protection relaysPendingNotifiedELECTRICAL CONTRACTOR · PORTAL2041-ELE-DWG-0412 · REV CIn useRetiredHolder notified: superseded by Rev D, permit condition 14Approved once. Bring contractors inside the process and stop waiting on email

A version that leaves as an email attachment starts a life of its own at the supplier's: forwarded, printed, marked up, and nobody can say which copy the shop drawing was based on. In AODocs, contractors and suppliers work through controlled portals, with the same traceability as internal users. A transmittal carries its purpose and its acknowledgement, returned comments land on the right revision, and access ends when the contract does.

  • Transmittals with a purpose of issue and a recorded acknowledgement.
  • One controlled portal per contractor, limited to its packages.
  • Comments returned on the right revision and reconciled on one sheet.
  • Access closed at the end of the contract; the record stays with the owner.

Keep your project platforms
Stop waiting on everything around them

Autodesk Forma, Procore and Oracle Aconex run the model, the site and the exchange of drawings well. The contracts, permits, certificates, vendor data books and correspondence around them still live on folders and email, and that is where crews wait. AODocs governs those documents under the same lifecycle as the drawings and connects to the platforms instead of replacing them. In the evaluations we have run, the general-purpose document record usually sits outside the project platform.

Integrations with Autodesk BIM 360 and Autodesk Forma, SAP and Microsoft 365, and an API-first platform on your cloud, your storage and your LLM: Amazon S3, Azure Blob Storage, Google Cloud Storage, SharePoint Embedded or Google Drive. Model coordination stays where it is.

Specialized project platforms are stronger for schedule, cost, RFI and submittal management, field workflows and model coordination. We do not replace those functions.

Projects that start in hours, with contractors inside the process

It's a big risk not to have any document control, that companies don't necessarily see directly, because a lot of time passes between when the document is generated and when the problem happens at the site.

Setting up AODocs for a new project now takes a few hours, and contractors work through controlled portals.

Questions on this phase.

Our EPCs work in their own systems. Do they have to switch?

No. Contractors and suppliers keep their own tools. What changes is the exchange: instead of a version leaving as an email attachment, they submit, receive and acknowledge documents through controlled portals inside the AODocs process, with the same traceability as internal users. The superseded revision is retired on their side too, so the copy they hold is visibly the current one.

Do you want to be our common data environment?

AODocs provides the mechanism a common data environment needs: one governed lifecycle for every document type, a status that binds, controlled sharing with external parties, and a record kept after handover. We describe that mechanism rather than claim conformity with a standard. Where your project follows ISO 19650, your information manager defines the containers and states, and AODocs enforces them.

Migrating a live project is out of the question. Where do we start?

Agreed: nobody moves the record of a live project halfway through. Start with the next project, set up from a template in hours, or with one document class on the current project, such as commissioning certificates or permits. The first project is where your document control configuration is defined; every project after it starts from that configuration.

Our project platform already covers document control. Why add AODocs?

It covers the model and the project data well. Ask where the contracts, permits, certifications and transmittal correspondence live, and how a superseded revision is retired in that location. In the evaluations we have run, the general-purpose document record usually sits outside the project platform, on folders and email, and that is where the schedule waits.

See how much faster one document class can move.

In a one-hour session, we take one document class from one of your projects and show how it is checked, approved, retired when superseded and read by AIDA, without a person remembering to do any of it.
