Manual handling = human errors
Prior to the deployment of AODocs, Veolia Water Technologies was using folder structures to manage many of its projects, struggling to manage version control, track approvals, and ensure the right people had access to the correct documents.
No traceability = legal risks
Ensuring contractors work with the right documents was essential. In case of mistake, a lack of traceability can lead to mutual blaming, confusion and even litigation.
Lack of standards = Inefficiency
The absence of a standardized system for managing project documents caused teams to reinvent and re-implement processes repeatedly, wasting time and resources.
Improved project efficiency as new projects can start faster
Better control of project delivery and quality thanks to robust document control and automatic workflow and validation processes
Boosted collaboration and communication internally and with external partners, contractors and vendors thanks to the use of AODocs as a common platform.
It's a big risk not to have any document control, that companies don't necessarily see directly because a lot of time passes between (when) the document is generated and when the problem happens at the site. It's very important to manage the flow of documentation between the different parties, suppliers, our teams, subcontractors, and also the clients. With AODocs, we have a list of all the documents with all their metadata and properties, so we can see the document's status, where it is and who should review and approve it. We make sure it goes through a workflow and that it is distributed to the right people.

BEFORE AODOCS: DOCUMENT MANAGEMENT can get MURKY
Veolia Water Technologies, a global leader in ecological transformation, faced significant challenges managing documentation and folder structures manually across various parties for many projects. It struggled with version control, approval tracking, and ensuring the right people had access to the correct documents. Initially, they relied on a folder structure on local networks and Google Drive, leading to duplicated documents, confusion, and risks.
CONFIDENCE, GAINED FAST and EASY
Nicolas Tourneur and his teams, with the support of VWT’s IT, were some of the first users to implement AODocs to overcome these challenges. This platform provided a centralized, structured, intuitive way to manage documents.
AODocs’ user-friendly interface required minimal training, encouraging swift and widespread adoption among Veolia’s teams. Now, Veolia could easily define and control document workflows at project initiation, including issuer, reviewer, and approver. This ensured every document went through the correct process and was accessible to the right people.
A mobile application proved very useful for Veolia’s on-site teams, providing real-time access to necessary documents anytime and anywhere. Nicolas notes that AODocs’ openness to user feedback helped shape its roadmap, ensuring the platform continually evolved. The platform’s stability and smooth updates ensured consistent performance and reliable access to new features without disruption.
NEW CLARITY leads to SAFETY and EFFICIENCY
According to Nicolas, with AODocs, Veolia Water Technologies gained control over its documentation, mitigated risks, and improved efficiency.
It now efficiently manages documentation flow among suppliers, teams, subcontractors, and clients. The platform provides a comprehensive list of documents with their metadata and properties, enabling real-time tracking of document status, location, reviewers, and approvers. AODocs ensures that each document follows a predefined workflow and reaches the appropriate parties.
The platform’s intuitive design, reliability, and adaptability made it an indispensable tool for their operations.
